Our client, a leading software solutions provider in the medical device sector, is seeking a talented Office Administrator to join their dynamic, multinational team and provide high-level support onsite at their office in Dublin 15.

The successful candidate will provide reliable, consistent, and comprehensive administrative support to the HR & Admin team and assist with daily office management tasks. They will be responsible for managing the reception desk, ordering stationery and groceries for the office, organising travel arrangements for employees and the Executive Leadership Team, and arranging and booking meeting rooms, conference and video calls.

You must be able to work fully onsite in Dublin 15 and have a driver’s licence.
Ideally you will be available to start immediately or with less than 2 weeks’ notice.

Responsibilities:

  • Oversee the reception desk operations, managing tasks such as handling incoming deliveries, addressing email and phone inquiries for the office.
  • Welcome visitors to the office and provide assistance as needed.
  • Support the HR team by carrying out administrative tasks related to recruitment.
  • Take responsibility for procuring office supplies and groceries.
  • Coordinate travel arrangements for employees and the Executive Leadership Team, including booking flights, accommodations, and transportation.
  • Schedule and manage meeting rooms, conference calls, and video meetings.
  • Create presentations and agendas for meetings as requested.
  • Record meeting minutes when necessary and distribute them accordingly.
  • Coordinate catering and procure stationery for meetings.
  • Assist in planning both routine and spontaneous office events.
  • Engage in miscellaneous project work and administrative tasks as required.

You should have: 

  • 3+ years of solid administrative experience supporting a busy multinational office
  • Experience researching and preparing complex worldwide travel arrangements and itineraries
  • Advanced level of skills in Microsoft Office Suite (Word, Outlook, Excel and PowerPoint)
  • Ability to work from the office 5 days per week
  • Must have a driver’s licence and ideally own transport
